Monthly Board Meeting Minutes
May 17, 2009

Board Members:
PRESENT: LaVerne Baker, April Gordon, Lisa Bruni, Randy McAlary, Lorene Leathers, Elizabeth Argumedo, Floyd Kemper, Chris Dark, Nancy Cooper, Gina Stanley, Diana Martin

Proceedings:
·                Meeting Called to order at 4:38pm by LaVerne Baker
·                April’s Monthly Board Minutes were handed out by Gina Stanley, who took and transcribed the minutes in the absence of Lorene Leathers, Secretary.
·                MOTION by Diana to approve the April minutes
·                Amendment to the minutes to reflect the absence of Lorene Leathers
·                Amendment to the minutes to reflect the Winterball fee should have read $65 with a $10 sir charge if not a player from Spring-this was motioned, seconded and approved at the April 19th board meeting
·                SECONDED by Randy
·                MOTION PASSED- All in favor, none opposed
 
            Randy McAlary and Karlton Hutchison will coach the 16U All Star Team and they will    find a manager as soon as possible.
 
·                Officer’s Report:   
            President: LaVerne Baker
            Thanked everyone for all of the work so far this season.
 
            Vice President: April Gordon
            All Star Uniforms will be finalized by May 18th. 12/14/16U’s will wear black pants,          10U’s will wear black shorts with sliders.
            ACTION: Randy will call people he knows at the Sports Authority for the 12/14/16U     pants.
            Preliminary order with Jon at Qualitees for shirts is in.
            Arena Softball-Chris now has dates for the website. Last Arena Softball made $245 on    May 9th. 
            Working on Fall Ball stuff right now. Condiments for closing ceremonies will be provided by Sonic. 
            Please don’t send any emails to April’s work address
           
            Treasurer: Gina Stanley
            All Star Fundraising from Partylite candles. If a girls sells 8-19 items that giver her the     $60 fee-nothing out of pocket for WGFSA. Gina will make 10% of the 50% of the sales    and will donate it back minus the cost of the flyers. Gina will give 15 copies to each All         Star manager. Any dollar amount earned past the $60 will go back to the team to use for     extra tournaments or year end party.
·               MOTION by Floyd to allow Gina to facilitate a fundraiser with Partylite to help with All Star Costs

            ACTION: Gina will email NorCal about check number 236 & 236 that haven’t been        cashed.

            Update Phone/email list done. Will email the list to others members
 
            Field/Facilities: Dennis Stanley (ABSENT) report given by Gina
            Dennis purchased new second base. Agriform donated some “chalk” for the fields.
 
            Player Agents:

            16U: Diana Martin
            Asked Courtney Travis if she wanted extra help with her team, she has denied the extra    help.
 
            Snack Bar: Nancy Cooper
            Scorebooks-people aren’t paying attention when they are getting the scorebooks-using      the wrong book-need to do something different for next year.
            Not replenishing any stock in the snack bar at this time. Will use up what we have. 
            Closing Ceremonies-will be at Klenhard-serving hamburgers and hot dogs and drinks.      Will be on May 30th, Noon-3pm. 
            ACTION: Nancy will check with the fairgrounds for us to use on that day. It may cost $400
            Elizabeth can provide a PA system if we use the fairgrounds.
 
            Webmaster: Chris Dark
            10U teams need to report their scores. Ray from Unlimited Sports Photography has          given action shot pictures to managers, but not all teams have them yet. 
            ACTION: LaVerne will call Ray and let him know to finish.
           
            Publicity: Lisa Bruni
            Awards for closing ceremonies have been ordered. Will be here May 28th.             8U=participation trophies, 10/12/16U’s will get trophies for 1st, 2nd, 3rd standings
 
            All Star awards have also been ordered. 
           
            Registrar: Floyd Kemper
            Currently have 218 players. Doesn’t have a copy of winter registration form, wants to      modify form for Winterball. Winterball registration begins today.
 
            Equipment: Dennis Stanley (ABSENT)
           
            Winter League/NorCal: Randy Mcalary
            Virtual Tournament Director for registrations now available. Winterball will go through    this system. Cassie Rogers said there is a list of steps for all star teams.
            Any incidents with inter-league play need to be given to Rod Borba. NorCal wants          document of any incidents.
            Manager meeting for All Stars on June 29th at 7pm in Rancho Cordova. Next Norcal        meeting for All Stars tournament is June 10th. Cost is $375/team. Gina will give Randy a check tonight.
            No increase in fees for Winterball. 
            Coaches will have to wear ID lanyards for the All Star Tournament
            Cassie is going to have an ACE class. There must be 1 person certified per dugout.
            July 20th-Norcal Winterball Meeting
 
            Umpire-in-Chief: VACANT
            Gina will text Courtney Travis to make sure she will show up to umpire. Frank Travis is    not ASA certified and neither is Stephanie Travis.
            ACTION: LaVerne will email Frank and Stephanie letting them know they are not ASA             certified and they cannot umpire.
 
·                New Business:
            Randy will see if his wife Paula is willing to manage the 16U all star team. She needs to  get background checked and approved by Norcal.
 
            Fireworks Booth-Floyd
            Discussion was held regarding changing current register to get a different one that will be             better- will have a scanner for the UPC codes-this will reduce money loss.
 
·                MOTION By Elizabeth to use current cash register for this year and revisit the idea of purchasing a new one at a late date
·                SECONDED by Lorene
·                MOTION PASSED- in favor=7; abstain=3
            Budget for booth decorations for a “wow factor”.
·                MOTION by Gina to allow for up to $150 on fireworks booth decorations
·                SECONDED by Nancy
·                MOTION PASSED-all in favor, none opposed
 
            Floyd will put together a sign-up sheet for fireworks booth at closing ceremonies.
            Dennis will stay the night in his trailer at the fireworks booth. Gina will close out the        booth each night.
